General Information about the Program Administrative Manager Position
Soul Shoppe is an Oakland, CA based non-profit that’s been serving elementary school communities with our social and emotional learning (SEL) services since 2001. We facilitate safe spaces where kids can learn how to manage difficult feelings, speak up for their needs, show up for one another, and engage in restorative conflict resolution practices. We are looking for a collaborative team player who delights in maintaining and establishing processes that keep projects and people organized and on track. You are an excellent communicator (verbal and written) who can manage multiple priorities with ease. You believe in our mission and can get down with how we walk our talk.
The Program Administrative Manager plays a pivotal role in day-to-day program operations, coordinating and communicating with clients and internal stakeholders to ensure the smooth flow of service delivery. This is an exempt position and is 80-90% remote, with 10-20% time in our Oakland office.
Key Responsibilities of the Program Administrative Manager
- Responsible for end-to-end customer care, including contract management, scheduling, onboarding, and communications about contracted services
- Manage the CRM for sales and service delivery
- Troubleshoot user issues for digital course delivery
- Maintain and update documentation of processes and procedures
- Monitor general email account and forward inquiries to appropriate team members
- Provide administrative support to Executive Director
- Participate in the organization’s equity initiatives
- Office administration
Required Qualifications:
- A track record that shows planning, organizing and administrative skills, specifically in establishing and maintaining procedures and processes.
- Proficiency with Google Suite, CRMs (e.g., monday.com, Hubspot, ACT, Pipedrive), productivity tools (e.g., Slack, Basecamp, Asana)
- Excellent verbal and written communication skills.
- Thrives in the details.
- Collaborative, with an ability to work independently.
Preferred Qualifications:
- Experience with graphic design software.
- Experience with Adobe Acrobat DC
- Experience setting up back end tech systems (CRMs, learning management, websites, Google Workspace)
Compensation and Hours:
- 32 – 40 hours per week $41,600 – $62,400 annual
- Health insurance – 100% employer paid for employees, 2 weeks accrued PTO + paid winter break, 13 paid holidays/year
